Being an Office Manager at Sullivan means that you will organize and supervise all activities that facilitate the smooth running of our office. Office Management / Maintenance
  • Ensure the office is in tip-top shape all the time
  • Own the organization of all supplies and resources (file cabinets, supply room organization, desk phones, monitors etc.)
  • Help manager multiple partner calendars using Microsoft Outlook
  • Set and implement policies relating to resources and their usage
  • Work with accounting department on budget and policy matters
  • Liaise with external vendors for facilities and equipment (e.g. phones, cleaning service, maintenance contractors, appliance repair, equipment maintenance & leases etc.)
  • Build & maintain relationship with building management and staff
  • Manage online building management portal - service requests and billing
  • Manage administrative team and their responsibilities (2 Executive Assistants)
  • Oversight of office supply orders
  • Book travel as needed and adhere to Sullivan Travel Policy; guide and assist staff as needed when booking team/client travel
  • Orchestrate company events and celebrations
  • Assist in real estate and office move projects
  • Onboard new employees – prior to start set up desk with phone, computer, supplies, meet and greet on first day
  IT Management
  • Manage relationship with IT vendor, troubleshoot onsite equipment, monitor quality of services, assist in setup of onsite equipment and facilitate their support of employee population
  • Manage software and application tools and licenses (Slack admin, Creative Suite licenses, remote meeting tools etc.)
  • Ensure employees are properly on-boarded and off-boarded according to information technology policy, including new hire set up
  • Enforce client compliance requirements across all things information and security related, including physical space and digital systems

Ideal candidate profile:

  • 5+ years office management experience in a professional services environment; agency experience a plus
  • 2+ years experience using Microsoft Office Suite and Mac operating systems
  • Comfortable with technology of all kinds, including office AV equipment
  • Ability to work and thrive in a fast-paced, creative atmosphere
  • Maturity to handle delicate issues in a confidential manner
  • Experience managing a team; excellent delegation skills
  • Bachelors degree required
  • Ability to organize, prioritize, and accomplish multiple tasks simultaneously
